Team Assistant and Office Manager (m/f/d)

 

YOUR ROLE IN OUR TEAM
  • You organize (international) team meetings & events, town halls and other meetings (in person & remote), and arrange executive team meetings
  • You welcome our guests in coordination with AI Campus Reception, manage Access App accounts for the team and advise on desk and room bookings
  • You will work closely with the AI Campus Community Manager on issues such as office safety compliance and organizing minor repairs
  • You support the IT team especially for on & off boardings and repairs by coordination and dispatch  
  • You will give new employees and guests a tour of the office and provide information and communications on office related topics
  • You handle daily mail, courier services and bulk mailings, e.g. for anniversaries and special events, and manage orders for office supplies and other items in coordination with our purchasing department

 

YOUR PROFILE
  • You are a self-starter with hands-on mentality who has first experience in team assistance and office management
  • You love working across locations and organizations, enjoy taking care of the team and radiate that joy in everything you do
  • You have a positive mindset and with your can-do attitude always find creative solutions
  • You are a quick thinker with a curious mind and the desire to continuously learn and grow
  • You pay great attention to detail and bring strong planning and forward-thinking capabilities
  • You can adapt quickly to changing situations and handle stress gracefully
  • You possess excellent communications skills in German and English and are familiar with office, communications and sharing tool
