Order Processing Executive

Your role in our team:
- Commercial order processing and co-ordination throughout stages of offer, order and delivery.
- Receive, review, enter, and confirm intercompany orders in the relevant ERP system.
- Validate material numbers, quantities, pricing, requested delivery dates, Incoterms, shipping instructions, and other order details.
- Coordinate product availability, production schedules, allocation, and delivery commitments with planning, procurement, warehouse, and manufacturing teams.
- Monitor open orders from receipt through delivery and invoicing, proactively following up on delays, shortages, blocks, and exceptions.
- Communicate order status, confirmed dates, backorders, changes, and risks clearly to internal customers and relevant stakeholders.
- Manage order amendments, cancellations, returns, credit or debit requests, and delivery discrepancies in line with approved procedures.
- Coordinate export, customs, transport, and shipping documentation with relevant departments.
- Investigate and resolve issues relating to pricing, master data, stock availability, delivery, invoicing, and system transactions.
- Maintain accurate order records, supporting documents, correspondence, and audit trails.
- Support month-end activities by reviewing open orders, delivery status, billing blocks, and incomplete transactions.
- Track service performance and contribute to improvements in order accuracy, lead time, on-time delivery, and process efficiency.
- Follow company policies, internal controls, trade-compliance requirements, and applicable quality standards.
- Close coordination and communication with colleagues from various departments, stakeholders as well as the German HQ.
- Dotted line reporting and integration with OPM organization within the company.
Your profile:
- Diploma or bachelor’s degree in business administration, supply chain, logistics, operations, or a related field.
- More than 3 years of working experience in order management, customer service, sales administration, supply chain, or a similar coordination role.
- Working knowledge of ERP systems, preferably SAP, and proficiency in Microsoft Excel and other Microsoft 365 applications.
- Experience with export documentation, Incoterms, customs requirements, or cross-border shipments is an advantage.
- Experience in worldwide logistics (Import/Export and Shipping background).
- Able to work independent and under pressure.
- High sense of responsibility.
- Excellent communication skills, Strong written and spoken English; additional languages are an advantage in a regional or global environment.
