IT Flow Manager

As IT Flow Manager for IT Application Products, you keep the new way of working alive across the IT product teams. You work across several product teams in the IT Applications domain (Hamburg, Porto and Pécs) and make sure that work flows smoothly, predictably and visibly – from request to delivery – at the level of each single product team and of the whole product line.

You manage the flow of work, not the people: you facilitate the team cadences, make processes and policies explicit, track and interpret flow KPIs, remove and prevent blockers and guide the teams through change. With a strong Kanban and agile mindset, hands-on methodological expertise and a clear customer focus, you enable the product teams to deliver value faster, more reliably and with high efficiency. You work closely with the IT Process Lead, who owns the overall process landscape and the Kanban Flight Levels approach based on Atlassian Jira.

Key Responsibilities

Support the Product Teams

  • Support the IT product teams in living and continuously improving their agile way of working (Kanban principles and practices).
  • Act as active supporter: inspire, challenge and enable the teams to reflect and act on their own processes.
  • Advise teams and Product Owners on methodical questions (board design, work item types, classes of service, policies, estimation and forecasting).
  • Help the teams to define, folllow and revise their process policies continuesly.

Moderate the Team Cadences

  • Lead and moderate the Kanban process meetings (cadences) like: Daily Stand-Ups, Board replenishments, flow reviews etc.
  • Facilitate the cross-team cadences of the product line: flow / service delivery review, operations review and risk review (blocker clustering).
  • Ensure decisions, experiments and follow-ups from the cadences are visible and tracked to closure.

Establish and Monitor Process KPIs

  • Establish and constantly oversee a solid flow KPI tracking (lead time, cycle time...) for a) each single product team and b) the whole product line.
  • Build and maintain the KPI dashboards and reports and translate the data into actionable insights for teams, Business Stakeholder and management.
  • Use the data for service level expectations towards the business, instead of individual effort estimates.

Bring Process Know-how

  • Bring solid Kanban and agile process knowledge and hands-on experience (Kanban Method, Flight Levels, Scrum, Lean) and apply them pragmatically to the teams’ context.
  • Promote agile values and practices in every day work with teams, stakeholders and management
  • Drive incremental, evolutionary improvement: Together with the teams, formulate experiments for process improvements with a clear hypothesis, success measurement and timebox, and follow up on them.

Work across Teams and Guide Change

  • Work across several IT product teams; monitor that effective processes are followed and that hand-overs and dependencies between teams are managed.
  • Guide and enable the IT product teams through change processes; address resistance with empathy, patience and facts.
  • Communicate flow performance, demand and capability transparently to teams, management and business stakeholders.
  • Share learnings and good practices across teams and contribute to the continuous improvements

Profile

Experience & Skills

  • Several years of experience in agile process roles (Flow Manager, Scrum Master) in an IT environment – ideally across several teams or a product line.
  • Profound knowledge of the Kanban Method (cadences, policies, WIP limits, classes of service, metrics)
  • Strong methodological and analytical skills: comfortable with flow metrics, data analysis and probabilistic forecasting and able to turn data into decisions.
  • Hands-on experience with Atlassian Jira (boards, workflows, automation, dashboards) and related tooling such as Confluence; experience with ITSM processes (ITIL) is an advantage.
  • Good communication and facilitation skills: moderates meetings and workshops confidently and acts as moderator or mediator depending on the situation.
  • Ability to influence without formal authority and to work with diverse stakeholders – developers, Product Owners, team leads, business representatives and management.

Mindset & Personal Traits

  • Agile mindset with passion for collaboration, transparency and continuous learning.
  • Structured, proactive and solution-oriented working style with a focus on productivity and measurable results.
  • Servant leadership attitude: success means the teams succeed.
  • Resilient and persistent in driving change; pragmatic in choosing “start with what you do now” over big-bang redesigns.

Additional Qualifications

  • Experience with process automation (Jira Automation, scripting, low code / RPA, Script Runner) is a plus.
  • Willingness to travel between the locations Hamburg, Porto and Pécs (extent to be defined).
