The Legal Assistant will handle a wide range of administrative support tasks for the Professional Services Group and laisse with services billing teams to ensure accurate and timely timesheets, forecasts, billing, and revenue recognition related to partner billable services project work in the Americas. This role will have a matrix reporting structure up and through the Services Billing Team Lead with a strong dotted line responsibility into the PSG Services Group organization, and will serve an important role in interfacing with internal Project Managers, subcontractors, customers, and internal accounting and billing teams. The individual will have the ability to exercise good judgment in a variety of situations, have excellent customer service skills and be a team player. Our ideal candidate is detail-oriented and has the ability to manage competing priorities.

 

Your role in our team

  • You will be responsible for the timely submission of partner timesheets
  • You will coordinate with managers and directors to ensure a timely and accurate forecast for partner time
  • You will handle agreements, contracts, and other partner paperwork for both subcontract and independent partners
  • You will be responsible for the creation of monthly services forecast spreadsheets for NA services teams
  • You will be responsible for pushing managers and resources to ensure their timesheets are being input in a timely basis
  • You will audit project status reports and make sure they are being sent
  • You will create free work template each week for input from leadership
  • You will resolve timesheet, billing, and/or invoicing issues by working with parties involved (internal and external)
  • You will travel <10%

 

Your Profile

  • You have a High School Diploma
  • An associate or Bachelor’s degree in business admin is a plus
  • You have 2+ years of customer service experience
  • Your contract management system experience is preferred
  • You have strong computer skills and experience with MS PowerPoint, Word, Excel, Outlook, etc.
  • You have solid organizational skills and attention to detail
  • You are a team player with a positive attitude - Must be willing to pitch in where needed
  • You are proactive, resourceful, and self-directed
  • You must be able to work with confidential, sensitive information
